This explains what we do with your personal information when you ask us for a quote or book a move. It describes what actually happens in our systems rather than covering every possibility, so it is short.

TransScot Ltd (registered in Scotland, number SC641345) is the data controller. We are based in Motherwell and you can reach us on 0800 014 1306 or at office@transscot.com.

What we collect

When you use the quote form or contact us, we collect what we need to price and carry out a move:

  • Your name, email address and phone number.
  • The collection and delivery addresses, including the floor, whether there is a lift, and parking or access notes.
  • What is being moved — an inventory by room, and any items needing special handling.
  • The date you want to move, and any services you have asked about such as packing or storage.
  • How you arrived at our website: the page you landed on, the site that referred you, and campaign tags in the link if there were any.
  • A record of your consent to be contacted, including when you gave it.

Why we can use it

For quoting and carrying out a move, the lawful basis is performance of a contract, or taking steps at your request before entering one. We cannot quote for a move without knowing what and where it is.

For understanding which pages and campaigns bring us enquiries, the lawful basis is legitimate interests. That processing uses the page and referral information above, not your name or contact details, and you can object to it.

For invoices and accounting records, the lawful basis is a legal obligation — HMRC requires business records to be kept.

Who sees it

Our own staff, to quote and carry out your move.

Our hosting and database providers, who store the information on our behalf under contract and do not use it for anything else.

Our email provider, when we send you a quote, booking confirmation or invoice.

We do not sell your information, and we do not share it with advertisers or data brokers. The only third-party code on this website is Google Analytics; it stores nothing on your device unless you agree to it in the cookie notice, and there is no advertising or remarketing code at all.

How long we keep it

An unfinished quote is held for 90 days and then expires, so a link you were sent stops working after that.

If you become a customer, we keep the records of your move and the associated invoices for six years, which is the period HMRC requires for business records.

If you asked for a quote and did not book, we keep the enquiry for two years so that we can recognise you if you come back, and then remove your contact details from it.

Your rights

You can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, ask for it in a portable format, or object to the processing we do on the basis of legitimate interests.

Email office@transscot.com and we will respond within one month. There is no charge.

Where we are keeping something because the law requires it — an invoice, for example — we will say so rather than delete it, and explain when it can be removed.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first, but you do not have to.

Where it is stored

Your information is stored on servers in the United Kingdom or the European Economic Area. If that ever changes we will update this page and say what safeguards apply.

Changes

If we change how we use your information we will update this page and change the date at the top. If the change is significant we will tell customers directly rather than relying on you to notice.
